Fundraising Terms and Conditions
For fundraising in aid of Northamptonshire Health Charity
Thank you for choosing to fundraise for Northamptonshire Health Charity (NHC). By organising your own event, activity or taking part in a charity-organised or third-party fundraising challenge, you agree to the following terms and conditions. These form the fundraising agreement between you and NHC.
- General Responsibilities
- You are fundraising in aid of NHC, a registered charity (Registered Charity in England and Wales – Number 1165702). You must make this clear in all communications and promotional materials.
- Funds raised must be paid to NHC and will be treated as unrestricted donations, unless otherwise agreed in writing.
- If fundraising in recognition of a particular ward or department, those areas can apply for funding via our grant process.
- Event and Activity Planning
- You must inform NHC’s Fundraising Team in advance of any fundraising you plan to carry out.
- Fundraisers must be aged 18 or over on the date of the event or activity, unless they have written consent from a parent or guardian and are appropriately supervised by a responsible adult. Some activities, such as public collections or raffles, may still be restricted to over 18s by law.
- You are fully responsible for organising your event or challenge, including all associated costs, risks, and liabilities.
- Your event is not covered by NHC’s insurance. You must arrange appropriate insurance if needed and ensure any suppliers or venues are adequately insured.
- Health, Safety and Legal Requirements
- If participating in a physical challenge, you confirm that you are medically fit and take part at your own risk. NHC is not liable for any injury, loss, or illness arising from your fundraising.
- You must ensure your event complies with all relevant laws (e.g. food hygiene, alcohol sales, licensing, gambling laws).
- You must:
- Seek permission from NHC before using its logo or producing materials with its name.
- Get approval before contacting the media about your event.
- Contact NHC before holding raffles, lotteries, or public collections.
- Secure permission for any collections on private property or in public spaces. House-to-house collections are not permitted.
- Financial Responsibilities
- You must ensure the safe handling of all funds raised in NHC’s name.
- All funds must be sent to NHC within 28 days of your fundraising:
- Cheques payable to Northamptonshire Health Charity.
- Online donations must go through approved platforms.
- If collecting sponsorship, please:
- Use official NHC sponsor forms or approved alternatives.
- Submit completed forms with donor details (for Gift Aid) within 28 days of your activity.
- We will only contact sponsors if they have opted in.
Note: Donations are not normally refundable, even if your event is cancelled.
- Taking Part in Third-Party Events or Challenges
- If you are participating in a third-party event or challenge (such as a marathon, trek or skydive) where NHC has purchased or been allocated charity places, please note that:
- The event is organised and run by a third party, not Northamptonshire Health Charity.
- NHC is not responsible for the organisation, safety, or delivery of the event.
- You must agree to and comply with the event organiser’s terms and conditions, including any medical requirements or fitness declarations.
- You take part at your own risk, and are responsible for ensuring you are physically able to participate.
- NHC strongly recommends that you take out appropriate personal insurance to cover injury, loss or cancellation.
- Conduct and Compliance
- You agree to use only lawful and ethical methods to fundraise and not bring NHC’s name into disrepute.
- You may not:
- Incur costs or commitments on behalf of NHC.
- Pay yourself or others from funds raised, apart from legitimate, documented out-of-pocket expenses if agreed in advance by NHC.
- NHC reserves the right to end this agreement if you breach any of these conditions.
